Email Communications – Important Information

Email communications between you and your healthcare provider are a two-way process. However, responses may not always be immediate, and replies can take hours or even days. This delay could impact timely treatment, especially in cases of acute conditions.

In Case of Urgency

If you experience an urgent or emergency situation, do not rely solely on email communication. Email may not be monitored in real-time. Instead, seek assistance through appropriate channels, such as contacting your provider directly or visiting the nearest medical facility.

Privacy Risks with Email

Emails, whether accessed on your computer, laptop, or phone, come with privacy risks. This is especially true if you are using an email account provided by your employer or if the account is not password-protected. Remember, unencrypted emails are as secure as sending a postcard. Avoid sharing any sensitive health information through email that you would not be comfortable sharing publicly.

Email Errors and Miscommunication

Emails can be easily missed, misinterpreted, or sent to the wrong recipient. Once sent, emails cannot be recalled or canceled. It’s essential to understand that associate staff may need to read and process your emails, so these messages are not considered private communications between you and your provider.

Emails and Medical Records

At the discretion of your healthcare provider, your emails and any responses may be included as part of your official medical record.

Security Concerns

While efforts have been made to secure email communications through encrypted servers, not all internet or email systems are guaranteed to be secure. Therefore, the confidentiality of your information cannot be fully assured when communicated via email.
